Student Employment
* A required step for employment at NC State. However, we strongly recommend reviewing all steps.
STEP 1 – Complete I-9 Employment Verification Form *
The I-9 Form is a required federal document that proves your identity and your legal right to work in the United States. You must complete it to begin working. It includes two parts: Section 1 and Section 2, and both are your responsibility.
First, you need to complete Section 1 on or before your first day of work. To help you do this, NC State will send an email to your school address. This message will include instructions and login information so you can complete Section 1 online.
Next, you must finish Section 2 within three business days after your first day. To do that, you must go to the I-9 Center and bring your original, current, and unexpired documents. Because this step confirms your right to work, it is very important that you bring the correct papers on time.

If you worked at the University before, you might still need a new I-9 Form. First, contact the I-9 Center by emailing i9questions@ncsu.edu. Then, they will tell you if you must complete a new form before starting work.
STEP 2 – Applying for a Social Security Card (F-1/J-1 International Students Only)
If you are an F-1 student or J-1 scholar, you must apply for a Social Security Number (SSN). After that, you will receive your SSN as a card in the mail. Next, you need an SSN to enroll in direct deposit, which is Step 3 of the hiring process. Once you get your card, contact International Compensation & Taxation (ICT) at ictquestions@ncsu.edu to update your SSN in the HR system.
ICT will walk you through their steps to upload your SSN card for a correct update. ISE PRO TIP: Do not include your SSN in your email to them. That’s very important.
After they update your record, ICT will notify the I-9 team to amend Section 1 of your I-9 form. Soon after, you will get an email from perfectcompliance.com with the subject “Need Your Confirmation of Amended I-9 Form with NC State University.” Finally, this email will include a link so you can review and confirm the update.

If you are a student on a graduate assistantship, please refer to the instructions on Step 10 – Terms and Conditions.
STEP 3 – Enroll in Two-Factor Authentication (2FA) *
Duo Security adds 2FA to NC State services that use the Shibboleth login. For example, MyPack Portal and WolfWare both require 2FA.
To get started, you need to enroll in 2FA before updating or enrolling in direct deposit. Without it, you won’t be able to make changes to your banking information.
STEP 4 – Tax Forms (NC4/W4 Tax Data and Foreign National Tax Information) *
You should fill out your W-4 and NC-4 tax forms online through MyPack Portal. To begin, go to Employee Self-Service >> Payroll and Compensation >> NC4/W4 Tax Data.
By default, both forms use “Single” as your status and “0” allowances. If you want to change this, click Submit New Federal Tax Withholding Allowance Certificate (W-4). Then, click Submit New State of North Carolina Tax Withholding Information. However, if you plan to file as “Single” with “0” allowances, you do not need to do anything.
If you are a Foreign National Student Employee, you cannot update the tax panel yourself.
Instead, schedule an appointment with the International Compensation & Taxation (ICT) office. They will help make sure your taxes are correct based on your work authorization and any treaty rules. To book your appointment, email ictquestions@ncsu.edu.
STEP 5 – Enroll in Direct Deposit *
You get paid every two weeks, which is called biweekly pay. To receive your pay, you must sign up for direct deposit. However, we suggest waiting until your first day of work to enroll. Sometimes, the system will not let you enroll before your job officially starts.
STEP 6 – W-2 Consent *
If you want to get your W-2 form electronically, go to Employee Self-Service> Payroll and Compensation >> W2/W2c Consent. Then, follow the prompts to finish the process.
At the end of January, your W-2 form will be uploaded as a PDF in the MyPack Portal
It will include your earnings from the previous calendar year.
STEP 7 – Information Security Acknowledgement (ISA) *
To access the Information Security Acknowledgement (ISA) form, log in to the MyPack Portal. Next, click on Personal Details >> Information Security Acknowledgment Form. Read the form carefully, and then check the I agree box at the bottom. After that, your acknowledgment will be recorded in the system.
STEP 8 – Complete Data Security Training *
You must complete the NC State Data Security Training if you access University systems. This training is important, and it helps keep information safe. The training is self-guided, and it takes about 30 minutes to finish. To begin, go to REPORTER and click on Data Security Training to open the checklist.
STEP 9 – Review WolfTime Training and Resources (Hourly Employees Only)
If you are a student worker on an hourly appointment, you must clock in and out using WolfTime, NC State’s system for tracking time and leave.
However, if you are on a Graduate Assistantship, you do not need to use this system.
Those appointments do not require you to track your hours.
STEP 10 – Terms and Conditions (Graduate Assistantships Only)
If you are hired on a graduate assistantship, you must approve your Terms and Conditions in NextGen. After that, we recommend saving a copy for your records. To find it, go to MyPack Portal >> Employee Self-Service >> Payroll >> View T&C Documents.
In addition, F-1 students can use this document as proof of employment when applying for a Social Security Card.
STEP 11 – Forgot to Clock In or Out?
If you forget to clock in or out, contact your supervisor right away so they can help fix your time sheet. Do not enter a random time, as it may cause mistakes in your records. Instead, give your supervisor the exact time you meant to clock in or out.
If your supervisor doesn’t respond after a few days, send a follow-up email. Be sure to cc the Human Resources Specialist at jpetway@ncsu.edu so we can help solve the problem quickly.
STEP 12 – Paycheck Concerns
If you see a mistake on your paycheck, contact the HR representative right away at jpetway@ncsu.edu.
Do not wait, because delays can make it take longer to fix the issue. It is your job to let us know if something looks wrong.
When you email us, include the following details:
- A short description of the error
- A copy or screenshot of the pay stub with the problem
- What the correct amount or information should be
This way, we can help fix the issue as quickly as possible.
Student Employee Resources
No-Pay Process
If you provide a qualifying service, you can get a No-Pay Service appointment, even without university payroll payment.
Even though this appointment gives you an NC State Unity Computing Account, you won’t get one just for that reason. Instead, you must offer a current, qualifying service. Past service or personal relationships don’t count as valid reasons.
Before you start, you must get approval. Sometimes, you may also need extra approval from the International Employment Office. To stay on track, submit your request at least four weeks in advance. It may take longer with background checks. Also, if you need international processing, expect a longer wait time before your appointment can begin.
Finally, remember your appointment will never begin before it receives full approval.
If you want to serve without pay at NC State, you must follow the official No-Pay (Volunteer) appointment process. These unpaid roles are called “No-Pay Service Appointments,” and they come with specific rules.
To qualify, you must provide a valid service to the university, even though you won’t receive payroll compensation. Because of this, you can’t skip the process, even if your work is temporary or occasional.
Key Information
- No-Pay Service Appointments may include:
- If you’re Emeritus Faculty, you are appointed under POL 05.20.02 and can stay active for up to five years.
- Unpaid Faculty – You must meet all requirements listed in REG 05.20.34 before beginning your service.
- As a Volunteer, you may help with student clubs, internships, advisory boards or similar civic and academic activities.
- If you’re a Research Volunteer, you must follow the full step-by-step process found in the shared drive under “No Pay Hiring.”
- Finally, if you’re a Graduating Student starting new research or needing access, you may also need a No-Pay appointment.
- Although you will receive a Unity ID, the university does not approve these appointments just to give you access. Instead, you get access only if you provide a current, qualifying service—not as a favor or for past roles.
- Before starting, you must get approval in advance, so plan ahead to avoid delays. Usually, the process takes at least two weeks. However, it may take longer with background checks or international reviews. Keep in mind, your start date won’t come before the official approval date.
Special Note for Graduating Students
If you recently graduated and need continued Unity ID access for research publications, review the ORI website and FAQs first. Next, follow the Request Process for Continued Access for Graduates to make sure access follows university and sponsor rules. You may request a Unity ID extension (up to 58 days) through the IT Service Portal or by calling 919.515.HELP (4357).
If you plan to work unpaid on new research after graduation, you must go through the formal No-Pay process. Because of this, don’t promise a start date until the full approval is finished.
